Accounting Manager

Full-Time | Exempt | Hybrid

Position Summary

The Accounting Manager is a critical member of the UWSC team, supporting the organization’s financial health that makes our community impact possible. This role is responsible for the day-to-day management of the organization’s accounting and finance functions – including accounts payable, accounts receivable, payroll, budgeting, financial reporting, and compliance – and serves as a trusted partner to the President & CEO, Board Treasurer, and Finance Committee. This role partners closely with the Resource Development team on donor and philanthropic financial operations. The Role

In this role, you will take ownership of the following key areas:

  1. Financial Record Keeping
    1. Maintain accurate and up-to-date financial records, including the UWSC organizational budget; granting and allocations programs; endowments; and awarded grants.
    2. Ensure compliance with accounting principles and standards.
    3. Implement and oversee internal controls for financial transactions.
  2. Budgeting & Financial Reporting
    1. In partnership with the President & CEO, develop and manage annual organizational budgets.
    2. Monitor budget variances and provide regular reports to the President & CEO and Board Treasurer.
    3. Prepare and present monthly, quarterly, and annual financial statements to the UWSC Finance Committee and Board of Directors.
    4. Lead the monthly close process, including reviewing and posting journal entries, ensuring all transactions are recorded and accounts reconciled within established timelines, and preparing a month-end financial summary for the President & CEO and Board Treasurer.
    5. Prepare and report necessary financial reports (grant spenddown and other related) to local, state, and federal agencies.
  3. Accounts & Cash Flow Management
    1. Oversee and implement accounts payable and receivable processes.
    2. Reconcile bank statements and financial accounts.
    3. Manage cash flow and optimize working capital.
  4. Donation Management
    1. Process and record incoming donations; prepare designation reports in partnership with the Resource Development team.
    2. Ensure proper allocation of restricted and unrestricted funds.
    3. Generate donation receipts and acknowledgments.
    4. Partner with the Resource Development team to ensure aligned donation tracking between QuickBooks and Blackbaud Raiser’s Edge (donor management platform).
  5. Compliance & Accountability
    1. Coordinate with external auditors for annual audits; prepare necessary documentation.
    2. Implement recommendations from audit findings.
    3. Ensure timely filing of tax returns other required financial reports; implement annual donor tax letter process in partnership with Resource Development team.
  6. Financial Systems & Data Integrity
    1. Maintain and optimize financial management software systems.
    2. Ensure data integrity and security of financial information.
  7. Personnel & Payroll Administration
    1. Manage employee payroll records and coordinate with the external payroll processor to ensure accurate and timely processing of payroll, tax filings, and benefit withholdings.
    2. Research and review benefit options (insurance and retirement) as needed and provide accurate information for Workers' Compensation audits and Form 5500 pension plan reporting.

Education

  • Required: Associate’s degree in accounting, finance, or a related field.
  • Strongly Preferred: Bachelor’s degree in accounting, finance, or a related field.

Extensive professional experience in accounting, bookkeeping, and/or finance will be considered for candidates who may not meet required or preferred educational requirements.

Professional Experience

  • Required: Minimum of two years in accounting, bookkeeping, finance, technical management, or financial database management. Demonstrated experience in GAAP, financial statements, and budgeting. Demonstrated proficiency with QuickBooks.
  • Preferred: Financial management experience in nonprofit organizations and/or fundraising.

Skills

  • Strong organizational and technical abilities
  • A collaborative approach and the ability to communicate effectively with co-workers, volunteers, donors, partner agencies, and the general public.
  • Proficiency in budget development, management, and financial analysis.
  • Excellent verbal and written communication skills.
  • The ability to work independently, make timely decisions, and work effectively under pressure.

Work Environment

This is primarily a desk-based role requiring regular use of a computer, written communication, and verbal collaboration with team members and external partners. Core working hours are Monday through Friday, with a standard schedule of 8:00 a.m. to 4:30 p.m.; however, schedule start and end times are flexible and negotiable based on individual preference and organizational need. One remote workday per week is included following completion of an initial 90-day onboarding and training program. This position will be required to attend Finance Committee and Board meetings, held two Thursdays a month at 7 a.m.

 

Who You’ll Work With

This position reports directly to the President & CEO and works most closely with the Board Treasurer, Finance Committee, and the UWSC Resource Development team. The Accounting Manager also coordinates with external auditors, external payroll processor, and UWSC nonprofit partner agencies. This position has no direct reports.
